Privacy Notice For Job Applicants

As part of its recruitment process the Company collects, stores and processes personal information relating to job applicants. This privacy notice explains how and why the Company processes recruitment data and how it complies with the requirement to undertake lawful, fair and transparent processing.
Personal data will always be stored securely and only used in a way that data protection legislation allows. The Company takes its data protection responsibilities very seriously and has appointed a Data Protection Officer to oversee compliance with this privacy notice
What information are we using?
As part of the recruitment process we collect the following information:
- contact details including email address, phone number, and home address
- details of your employment and training history
- education history and qualifications
- information you supply about how you meet the required criteria for a role
- declarations you give about disciplinary action, dismissal, disqualifications or unspent convictions
- Referee details
If you go on to be employed by the Company, this information will also be added to your personnel file (see Privacy Notice for Staff):
How do we use your personal information?
The purposes for processing your personal information are:
- Recruitment management and processing
- Record keeping of recruitment decisions
- Carrying out pre-employment checks if you are offered a job. We will ask for your consent for any additional checks (such as a criminal records check or an occupational health assessment) that are needed
- Administration of your contract of employment (if you go on to work for us).
- Statistical analysis and equal opportunity monitoring to enable fair treatment in appointment decisions. You are not obliged to provide equal opportunities information, and can withdraw it at any time.
- To contact you about other vacancies you may be interested in applying for.
We may occasionally undertake online searches using information you have provided us but only where necessary and relevant to the performance of the job being applied for and in line with data protection legislation and our Recruitment Policy.
Your personal information may be held by the Company on paper or in electronic format. Please be assured that our staff are trained to protect your confidentiality and privacy. Your information is never sold for direct marketing purposes and is not processed outside the European Economic Area (EEA).
Lawful basis for processing your information
As your data is being provided for the purpose of engaging in the recruitment process, we consider consent has been given to process this information.
Who has access to your personal information?
Your personal information will only be routinely shared with those involved in the recruitment process.
When we do share personal information we only do so in line with relevant data protection legislation and with appropriate security controls in place. We never share more than the minimum data necessary.
We only share information with agencies or organisations who have a “need to know” or where you have provided consent for us to share your personal information with such parties.
The information we hold about you may be used to assist in the detection and prevention of crime or fraud.
For how long does the company keep your personal information?
For successful candidates who go on to work for us, recruitment information will be transferred to your personnel file (see Privacy Notice for Staff)
For unsuccessful applications, information provided as part of the recruitment process will be retained for one year. We will automatically close delete the content of recruitment files after 12 months of inactivity.
Your rights in connection with your personal information
As a data subject, you have a number of statutory rights. Subject to certain conditions, and in certain circumstances, you have the right:
- to be informed why, where and how we use your information
- to ask for access to your information
- to ask for your information to be corrected if it is inaccurate or incomplete
- to ask for your information to be deleted or removed where there is no need for us to continue processing it
- to ask us to restrict the use of your information
- to ask us to copy or transfer your information from one IT system to another in a safe and secure way, without impacting the quality of the information
- to object to how your information is used
- to challenge any decisions made without human intervention (automated decision making)
